Meeting mode
Meeting mode is the screen you keep open during the conversation. The agenda is on the left, your notes on the right, and a timer at the top.
Starting and finishing
- Start from the preparation with Start the meeting (⌘↵). The meeting is now in progress.
- Finish (⌘↵) marks the 1-to-1 as completed and opens the follow-up email.
- Email preview opens the follow-up email without finishing the meeting.
- ✕ closes meeting mode. The meeting stays in progress; reopen it from the person's timeline or with Quick search.
Only completed 1-to-1s count for cadence debt, the team pulse, carried-over topics and exports, so remember to click Finish.
The timer
The timer starts the first time meeting mode opens, and shows the time elapsed against the planned length. It keeps running if you close and reopen the meeting.
Each topic also shows its own time: the current topic counts live, and covered topics keep the time they took. Topic times reset when you close meeting mode.
Working through the agenda
- Click a topic to mark it covered. The progress bar under the header fills in green.
- Defer a topic you did not get to, or want to revisit. It will come back on the agenda of the next 1-to-1 with this person, and appear under "Topics to revisit" in the follow-up email.
- + Add a topic adds a topic that came up during the conversation. Press Return to add it.
A topic that is neither covered nor deferred is left out of the follow-up email.
Private notes
The Private notes tab is selected by default. What you write here is for you only: it is never sent, never exported for a team member, and never shown in a notification.
Type a note and press Return. Use this tab for observations, context and anything you would not put in writing to the person.
Shareable notes and captures
The Shareable tab shows what the person will receive. Type a note and press Return to add a shareable note, or turn what you typed into something more specific:

Everything captured appears in order, with the time into the meeting at which it was captured. Promises created here have no due date. They appear in Promises, where Move all to next 1-to-1 can give them one.
Decisions, promises and wins are always shareable.
Mood
The Mood (private) row lets you record how the conversation felt: Great, Good, Neutral, Tense or Tough. Click the selected mood again to clear it.
Mood is never shared. It feeds the team pulse on Today and the mood cells on a person's page, so that a slow drift becomes visible over weeks.
